Second Wave AI

FAQ

Straight answers, before your first call.

Everything people usually ask about automation, AI assistants, document processing, branding, websites and dashboards — organised by service, so you can jump straight to what applies to you.

WORKFLOW & SALES AUTOMATION

It targets the repetitive, manual tasks that drain your team’s time — missed-call recovery, sending out quotes, scheduling appointments. Once those are automated, no lead falls through the cracks, and your team spends its time on the work that actually needs a person, not admin.

No. The rule is to connect to the tools you already use. Whether that’s HubSpot, Pipedrive, Xero, MYOB or a specific calendar system, we build automations that plug into your current stack. Nothing gets replaced unless what you have genuinely can’t do the job.

Most lost sales come down to slow follow-up, not bad service. We set up automated follow-up sequences and pipeline nudges that trigger the moment an enquiry comes in, written in your business’s own tone rather than a generic template — so it reads like someone followed up fast, because someone did.

Every workflow has error handling built in. If it hits an edge case or missing data, it escalates that one task to a real person on your team instead of guessing. We also stay on through the first month after launch to monitor the system and tune it as real exceptions come up.

AI ASSISTANTS & DOCUMENT AI

Yes. Custom AI chat and voice assistants are trained on your own policies and processes, with data residency and Australian Privacy Act considerations scoped in from day one. You’ll know exactly what’s stored, where it’s processed, and who can access it — and none of it is used to train public AI models.

Yes. Our assistants are built to say upfront that they’re an assistant — pretending otherwise damages trust and can breach consumer guidance. If it can’t confidently resolve something, it hands the conversation to a person on your team with the full chat history attached.

We sit down with the people doing the job today and document what actually happens, exceptions and workarounds included — not just the official process. That real, specific detail is what the assistant is built on, so its answers match how your business actually runs.

Yes, for the large majority of cases. Document AI is genuinely good at pulling structured data out of invoices, receipts and intake forms, which removes most of the manual entry at your busiest times. When it’s unsure about a handwritten or low-quality field, it flags that document for a person to check rather than guessing.

Yes. It’s built to feed extracted data straight into Xero or MYOB, whichever you already run, so there’s no manual copy-pasting and your records stay current without switching platforms.

BRAND IDENTITY

Yes — brand identity is its own package: a logo, colour palette, typography, a brand guidelines document and, depending on the tier, collateral like business cards, letterhead and social templates. We use AI to move quickly through concept directions, but every final logo gets vectorised and finished properly before it ships — nothing goes out as a raw AI image. Most businesses have a usable brand identity within one to three weeks.

If you don’t have real branding yet, it’s worth doing first, or at least alongside — a site built on placeholder colours and a stand-in logo usually ends up rebuilt once the branding lands, which costs more in total than doing it in order. If you’re already happy with your branding, we build the site straight from it. Either way, one discovery call covers both.

CRESTENDER · TENDER MANAGEMENT

No. Crestender reads the tender, builds the requirement register, drafts the compliance matrix and assembles your proposals. Final assembly, signatures and submission stay with your team.

Your people do. An engineer validates compliance, an engineer signs off the technical proposal, and a sales approver signs off pricing. Every compliance decision shows the clause and page it came from, and a requirement with no evidence is shown as needing engineer input, never filled in automatically.

Hosting is flexible: your own cloud tenant, a cloud or hosting service you already use, or hosted by Second Wave AI. We agree the option and region with you before the build. Data is encrypted in transit and at rest, with regular backups, and your documents stay yours.

AI-READY WEBSITES & MANAGEMENT DASHBOARDS

It’s built to convert human visitors while also being readable by AI search tools like ChatGPT, Perplexity and Google’s AI Overviews. That means clean site architecture, structured schema.org data, and clear, specific service and pricing detail — the kind of content that lets an AI system actually understand and recommend your business, not just index it.

Yes. We build on WordPress and deploy it on the hosting you already control. You keep full ownership of your site, your data and your domain.

Because native reporting inside each of those tools only shows you that tool’s slice of the business. A dashboard pulls live data from all of them into one view, so decisions get made on what’s actually happening right now, not on a picture that’s three weeks out of date.

Power BI or Looker Studio, tied directly to the systems you already run reports out of — no manual exports needed to keep it current.

Your site goes live within 10 working days of receiving your content.

Hosting, domain renewal, updates and backups continue for $49/month plus GST. There is no lock-in, and you can move your site anywhere at any time.

Yes. An Arabic version is a $500 plus GST add-on on the Growth package, and a native reviewer checks the Arabic before it goes live.

PRICING, TIMELINES & PROCESS

We map how the process works today, including the workarounds your team already relies on, then scope the build against your existing tools, test it on real historical data before it ever touches a live customer, and hand it over with a short tuning period included. There’s no obligation on that first call — it’s how we work out whether there’s a fit and roughly what it would take.

Every engagement is scoped as a fixed-timeline package, not open-ended consulting. Most targeted automation packages are mapped, built, tested and live within a matter of weeks.

Every package is a fixed-price engagement with a measurable outcome — you’ll know the exact build fee before any work starts. We also offer optional, transparently priced monthly retainers if you want ongoing hosting, monitoring and tuning afterwards.
